Summary

The Charles George VAMC is recruiting for one (1) Lead Medical Support Assistant within the Mental Health Service Line . The incumbent works as a Lead Medical Support Assistant and Automated Data Processing Applications Coordinator(ADPAC) located within the Mental Health Service. Incumbent serves as a front-line Lead for the MSA staff in Mental Health Outpatient Clinics to provide lead administrative support for mental health programs and assist in clinic operations of MHS.

Duties and Assignments at this level include, but are not limited to:
  • Assigning and evaluating the work of subordinate staff.
  • Resolving complex problems to ensure patient services are met.
  • Evaluating new products, equipment and systems in order to make recommendations for improved operations.
  • Identifying educational or training needs.
  • Making final decisions on selections; evaluating performance; and reporting disciplinary issues to the supervisor or administrative officer when necessary.
  • Responsible for planning and directing the MSA's activities, and extracting and analyzing data from a variety of sources in order to provide reports in support of performance measures to senior management.
  • Monitors and makes work assignments, provides input on performance, resolves daily workplace issues maintaining efficient workflow.
  • Ensures accurate and timely scheduling of appointments.
  • Provides guidance to staff members to include changes in policies and procedures.
  • Distributes and balances the workload and creates employee work schedules.
  • Lead MSA works collaboratively in an interdisciplinary coordinated care delivery model (i.e. PACT) and ensures all related duties, customer service and other duties assigned for the proper and timely treatment of patients such as appointment schedules are maintained by MSA staff for one or more outpatient clinics.
  • Lead MSA supports patient safety standards by ensuring the use of correct identification of all patients in accordance with established VHA guidance.

Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.

Basic Requirements:
  • United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
  • Education. High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education.
  • English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: Lead Medical Support Assistant, GS-07

Experience. One year of experience equivalent to the [GS-6] grade level

Demonstrated Knowledge, Skills, and Abilities.Candidates must demonstrate [all of] the KSAs below:
  • Advanced knowledge of medical terminology and a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or community resources.
  • Ability to utilize numerous advanced patient systems in support of multiple clinics in an interdisciplinary setting.
  • Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
  • Skill in communicating with individuals to obtain the desired effect and coordinating with a variety of interdisciplinary care team staff.
  • Ability to provide staff development and training.
  • Ability to manage staffing requirements, manage workflow priorities, and adjust the flow of work to meet team and patient needs. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work across multiple clinics.
